Printing Only Selected Pages

Excel provides several controls that help you control exactly what you print. Normally when you print, you would print the entire worksheet. However, Excel allows you to specify that only specific pages of the worksheet be printed. This comes in handy if you have used Page Break Preview or Print Preview to look at your worksheet, and you determine that you don’t need all the pages that Excel would otherwise print.

To print only selected pages, follow these steps if you are using Excel 2007:

  1. Display the Print dialog box. (See Figure 1.) The easiest way to do this is to just press Ctrl+P.

  3. In the Pages area of the dialog box, indicate the page numbers that you want to print.
  4. Click on OK.

When you specify the pages to print, in step 2, you can separate page numbers by commas. Thus, if you wanted to print pages 4 and 7, you should enter “4,7” (without the quote marks) in the Pages area of the dialog box. You can also specify ranges of pages to print. This means if you wanted to print pages 3 through 5 and page 9, you would enter “3-5,9” (again without the quote marks).

All of this works just fine, to this point, in Excel 2007. If you are using Excel 2010, things are different. When you press Ctrl+P you see the printing options on the File tab of the menu, but there is no “Pages” box (step 2). Instead, the options allow you to specify a beginning and ending page range for printing. If you try to get fancier and enter something like “3-5,9” then Excel removes the dash and command and ends up trying to print page 359.

This “simplification” in Excel 2010 is, unfortunately, a step backwards in flexibility when compared to earlier versions of the program.
